The 11,000-employee company, which manages 19 retirement communities, uses SharePoint 2003 for its intranet, is running a few test instances of SharePoint 2007 and plans to move to SharePoint 2010 to use it as the primary interface into its business intelligence reporting engine.</p>
<p>The goal, Keller told me, is to make SharePoint the first place employees go at the beginning of their work day. He said:</p>
<blockquote>
<p>When we roll out Exchange 2010 later this year and have the advanced features of OWA (Outlook Web Access) embedded into SharePoint, hopefully you&#39;ll be able to go to the multi-tabbed intranet where you might see Outlook and all of that related information on one tab, then all of your Web applications and Citrix-provisioned applications on another tab, and all of the reports and analytics you need in another tab. I think all of the toolsets are mature enough, and interact together enough, that it will work.</p>
</blockquote>
<p>Yet many tech execs will adopt a wait-and-see attitude toward the forthcoming SharePoint 2010 release, expected in the first half of this year. A <strong>CIO.com</strong> article quotes Scott Gode, VP of product management at Azaleos, a service provider that helps companies deploy and manage SharePoint and Exchange environments, who says many CIOs will wait at least six months after the product becomes generally available or until service pack 1 is released. (Based on my experience, this time frame is pretty common for Microsoft products.) The requirement for 64-bit hardware will hold at least some CIOs back, says Gode.</p>

My comment back to the audience was this: How can you have collaboration (which is what SharePoint is for) if you don&#8217;t have workflow? Most nodded their head in agreement.</p>
<p>This exchange got me to thinking&#8230;why are so few people leveraging business process automation in <a href="http://www.razorleaf.com/solutions/software/sharepoint/">SharePoint</a>. Here are some thoughts:</p>
<ul>
<li><strong>They don&#8217;t understand the process. </strong>A SharePoint deployment is typically managed by the IT staff. The IT staff may not know the first thing about the document approval process, the employee review process, the new employee hire process and so on. <em>If you don&#8217;t understand a process, you can&#8217;t automate it. </em></li>
<li><strong>Not enough time. </strong>Once again the IT staff is tasked with many things and interviewing process participants and building these complex processes just doesn&#8217;t make <em>the list</em>.</li>
<li><strong>The current process is not ideal.</strong> Maybe you do know your process. Maybe you know your process inside and out. But maybe the process leaves a lot to be desired. You think, why automate a bad process? That will just allow us to get more bad things done a lot faster.</li>
<li><strong>You don&#8217;t have the necessary tools. </strong><a href="http://www.razorleaf.com/solutions/software/sharepoint/">SharePoint </a>gives you templates, SharePoint Designer and Visual Studio as options for creating workflows. Each tool has its pros and cons, but in many cases none of these tools will allow a process owner (i.e. non-IT guy or gal) to create complex business processes. <p>It&#8217;s unfortunate that these and similar issues prevent the roll out of SharePoint workflow. As I said at the outset, you can&#8217;t have true collaboration without workflow &#8211; after all, everything you do is part of some business process. I would encourage you to figure out why you are not using SharePoint workflow and then work to correct the issues.</p>

As such, one of the first decision points before testing/deploying <span>SharePoint</span> is whether to use the free version (Windows <span>SharePoint</span> Services – WSS) or the enterprise version (Microsoft Office <span>SharePoint</span> Server – MOSS).</span></p>
<p>Since WSS and MOSS have the same set of core features, it seems more relevant to focus on the differences between them in making the decision. Keep in mind that both versions have the same capabilities in the key areas of lists, file management, permissions, and other basic functionality.</p>
<p>The following is a list of features that MOSS includes but WSS does not include. The list is not comprehensive, but covers the major areas.<br />
<strong>My Sites</strong>: Customizable site for each employee to have their own dashboard to what they are working on and what concerns them.</p>
<p><strong>Social Networking</strong>: Visibility of co-workers presence and instant messaging integration.</p>
<p><strong>Site Directory:</strong> Site searching tool to allow users to find sites and links quickly.</p>
<p><strong>Enterprise Search</strong><span>: Multiple site and non-<span>SharePoint</span> site crawling to bring data from multiple location to the end user’s fingertips.</span></p>
<p><strong>Business Data Catalog/Business Data Search</strong><span>: The integration of <span>SharePoint</span> to external business systems allows connections to other web services, relational databases, etc. For example, a field in your ERP system could drive the value of a column in your <span>SharePoint</span> list.</span></p>
<p><strong>Excel Services</strong><span>: Allows users to view and interact with Excel spreadsheets housed in <span>SharePoint</span> in an Excel-like interface. In other words, users don’t have to download the Excel file in order to work with its data.</span></p>
<p><strong>Information Rights Management (IRM)</strong><span>: Allows an administrator to expire and delete a document after a given amount of time or initiate a Workflow on a document at set intervals.</span></p>
